How to manage stock for a product

Keep track of how many items you have left, in orderBilly or synced from your POS.

Only have a limited number of something, like 20 portions of the daily special? With stock management, orderBilly keeps track of how many are left. The stock goes down with every paid order, and customers can't add more to their basket than what's left.


Step 1: Switch on stock management

  1. Go to Settings > Venue and scroll to Stock.

  2. Switch on stock management.

  3. Optional: set a time for Reset sold-out products, for example 3 AM. Your stock then refills automatically every day at that time.

  4. Click Save.

Step 2: Set the stock of a product

  1. Go to Catalogue > Products. Find the product in the list and click the pencil on the right, or search for it with the search bar at the top.

  2. Click "Go to detail page" and fill in the stock.

  3. Click Save. Done ✅


What happens when stock runs out?

Customers can't order more than what's left in stock. But a product with a stock of 0 is not marked as sold out automatically, so it stays visible on your menu as normal. Mark it as sold out yourself, so your customers see right away that it's gone. Read how to mark a product as sold out.


Connected to a POS?

Some POS systems can share their stock with orderBilly: CloudPOS, Deliverect, Flowmate, Lightspeed K-Series, Lightspeed L-Series and Trivec. If Sync stock is switched on in your POS settings, your POS stays leading. Your POS can then mark products as sold out or available again automatically, and a sync can undo a change you made in orderBilly.
