Running several venues? With Commands, you make one change across many venues of your organisation at once, instead of repeating it venue by venue. Think of a chain opening ten new restaurants: set one up, then copy its settings to the other nine in one go.
Good to know: Commands are switched on per organisation by the orderBilly team. They are off by default. Want to use them? Send us a message via the chat.
Who can use Commands
Once Commands are switched on for your organisation by the orderBilly team, you need an organisation role with the Commands permissions:
View command history: View the history of the organisation's commands and what they changed per venue.
Run commands: Preview and run commands across the organisation's venues, on the venues where the member may change what the command changes.
The built-in Organisation Manager role has every organisation permission. You can also give these permissions in a custom role. Read how to manage roles at organisation level.
Only the venues you can access
A command only works on venues of your own organisation that you have access to. You only see those venues when you pick a source venue or destination venues. Settings can never be copied to a venue of another organisation.
Where to find Commands
Go to your organisation by clicking its name at the top left of the backoffice, and click Commands in the menu on the left.
Preview first, then run
Every command except the POS sync shows an Impact preview first: per venue, what would change, from what, to what. The preview doesn't change anything. You can only submit a command once its preview has loaded.
After you submit, the command runs in the background. Each venue is changed on its own: if one venue fails, its changes are rolled back and the other venues still go through.
History and report
The History list shows every command run on your organisation, newest first: who ran it, its status (Queued, Running, Completed or Failed) and how many venues it touched. You can filter it by command, status and user.
Open a command to see its Command report: per venue, whether it Completed, Failed, was Skipped or is still Waiting, and exactly what changed. A skipped venue tells you why, for example "No item matches this PLU code on this venue".
Good to know: Changes made with Commands don't show in the activity log of a venue. You find them in the history and reports on the Commands page.
The four commands
Important - use with caution
These commands will overwrite the original data on the destination venues. All existing values for the selected settings will be permanently replaced.
This cannot be undone.
Make sure you have verified the source data before syncing.
Transfer venue settings | Copies settings from one source venue to one or more destination venues. |
Trigger POS sync | Starts a POS sync on several venues at once. |
Bulk update by PLU | Changes a product, extra group or extra on every chosen venue, found by its PLU code. |
Enable stepped additions | Switches stepped extras on (or off) for every product with at least a chosen number of extra groups. |
COMMAND #1. Transfer venue settings
Pick a source venue, one or more destination venues, the settings you want to copy, and a mode.
Merge or Replace
Merge: only fills in what the destination is missing. Existing values are left alone. Safe to run twice.
Replace: makes the destination match the source. Values are overwritten, and records the source doesn't have are removed. Records with exactly the same name, capitals included, are updated instead of replaced. That way, staff keep their custom role and printers keep their receipt template when the names match.
Careful with Replace: a service fee, timeslot or custom role on the destination with a name the source doesn't use is deleted. Team members with a deleted role lose it, and printers with a deleted receipt template go back to their own receipt settings. The preview lists the printers this affects. In doubt? Use Merge.
What you can copy
Venue settings: for example language, QR codes, vouchers, stock & availability, ratings, visibility, notifications, news, delivery zones, time slots, spotlights, upsell and cross-sell rules, discount code groups, user roles and receipt templates.
Menus & events: menus, ordering flow, display, tipping, basket, checkout, takeout, receipts, pricing, opening hours, service fees, automatic discounts, custom fields and category groups. You can copy only one menu type: eat-in, takeout or delivery.
Catalogue: your menu structure, so which categories sit on which menu and which products sit in which category.
Good to know: Some settings can only be copied by the orderBilly team, such as Feature flags or Promotions. You don't see those in the list.
Need one of them copied? Send us a message via the chat.
What a transfer doesn't do
It doesn't create products or categories. It links settings to the products and categories the destination already has, matched by PLU code and by name. Sync the POS of the destination first.
It doesn't copy themes. Themes are shared through your organisation.
Menus are only ever added. A missing menu is created. Existing menus are never deleted or renamed.
Tada promotions are not copied. Connect Tada on each venue yourself.
COMMAND #2. Trigger POS sync
Pick your venues and what to sync: All, Full catalogue, Products only, Categories only or Tables. Each venue runs what its POS supports. A venue whose POS doesn't support your choice, or without a POS, is skipped and the report tells you why.
COMMAND #3. Bulk update by PLU
Pick your venues, what you want to change (a product, an extra group or an extra), the PLU code and the fields to change. For example:
Products and extras: price (eat-in, takeaway, delivery), tax rate, image, availability, allergens and tags.
Products: also stock and "allow customer message".
Extra groups: the type and the minimum and maximum number of choices.
A venue without that PLU code is skipped.
COMMAND #4. Enable stepped additions
Pick your venues, a number of extra groups, and whether to switch stepped extras on or off. Every product with at least that many extra groups is changed. Products that are already set that way are left alone.
Something not right?
I don't see Commands.
Commands may not be switched on for your organisation yet, or your role doesn't have the Commands permissions. Ask your Organisation Manager, or send us a message via the chat.
I can't pick a venue.
You can only pick venues of your organisation that you have access to.
The transfer completed, but the menus on the destination are empty.
The destination had no products to link to. Run a POS sync on it first, then transfer the menu structure again.
The settings of a venue changed overnight.
Check the history on the Commands page for a command with that venue as destination. The report shows what changed and who ran it.
Can I undo a command?
No. The report shows the before and after of every change, so you can put it back by hand, or by a transfer from a venue that still has the old settings.
