What are vouchers?
Vouchers can be used as gift cards or to provide attendees with a voucher at an event. Each voucher comes with a code that can be used to pay for products or services, or to receive a discount. You can create vouchers yourself in the backoffice, or let people purchase them directly through the orderBilly widget on your website.
How to create vouchers?
When you navigate to wallet, click on ‘Vouchers’.
Create a Voucher Group:
Click on "Create a Voucher Group."
Name the group (e.g., ‘vouchers exp 07/25’ or ‘vouchers 'name' 2024’). The structure of the name is entirely up to you.
Add Vouchers: create single or multiple vouchers
Internal name: Give a name for the vouchers.
Voucher amount: Set the value (amount) of the vouchers.
Topup Mode: Please contact our team to use this feature. It is currently not actively used.
Number of vouchers (in the case of Multiple vouchers): Specify how many vouchers you want to generate - Only for Multiple vouchers.
Generate Code Manually: choose whether you want to generate the code or determine the code yourself.
Prefix: Choose a prefix for the voucher codes (e.g., if you choose the prefix BE for Business Event, a voucher code will look like BE-94KFD03). This makes it easier to recognize voucher codes.
Expiry Date: Set the expiration date.
How to use Voucher codes
After creating these voucher codes, you need to set up a 'custom field' on your menu(s) so people can fill in their voucher code in the ordering process.
This can be done via Menus > Manage > Custom fields > add custom field:
If you have multiple menus and want people to use the voucher code on all of those menus, you'll have to create a custom field for every menu separately.
Type - Discountcode
Name - This name is internal, only visible for you
Label - This is the text visible in the ordering flow to motivate customers to fill in their discount code, possible to add translations
Default value - you can leave this one empty
Required field - off (otherwise people without a discount code cannot order)
Enabled - on
Once added, this will result in the possibility for your customers to add a voucher and/or discount code during the ordering process.
Good to know
If your venue belongs to an organisation with multiple venues, you can indicate that vouchers can be used by all the venues in your organisation. This avoids that you have to copy paste the same voucher code multiple times across all the venues of your organisation.
To activate this, go to Wallet > Settings and activate the toggle for Organisation vouchers.
