Touchsystems synchronization settings

Learn your optimal synchronization settings between your Touchsystems POS and orderBilly

Configure Synchronization Settings

Go to 'settings' - 'POS Integration' and you'll see checkboxes which determine the way Touchsystems and orderBilly behave while synchronizing.

Important:
First, check your sync settings before you apply modifications in orderBilly. Because a synchronization can erase some or all of your work. This article helps to determine where you should apply modifications, based on your sync settings.

orderBilly synchronises automatically on a nightly basis with Touchsystems POS.
You can always initiate a manual sync by clicking on 'catalogue' - 'sync products' - 'sync categories'.

  1. Sync names
When 'sync names' is activated, orderBilly will retrieve the product name from the Touchsystems product and add it automatically to the product in the orderBilly menu.
Switch on if you want orderBilly to have the exact same product names as your Touchsystems POS and automatically change when name modifications have been made in Touchsystems.
Switch off if you want different names in your orderBilly menu as in your Toucsystems POS. And also if you want to use translations in your menu.
Since translations are added in orderBilly and not in Touchsystems, the initial product name might change after a sync but the translations will never automatically change. That's why product names should be managed manually when adding translations.

  2. Sync descriptions
When 'sync descriptions' is activated, orderBilly will retrieve the product description from the Touchsystems product and add it automatically to the product in the orderBilly menu.
Switch on if you want orderBilly to have the exact same product descriptions as your Touchsystems POS and automatically change when description modifications have been made in Touchsystems.
Switch off if you want different descriptions in your orderBilly menu as in your Touchsystems POS. And also if you want to use translations in your menu.
Since translations are added in orderBilly and not in Touchsystems, the initial product description might change after a sync but the translations will never automatically change. That's why product names should be managed manually when adding translations.

  3. Sync images
When 'sync images' is activated, orderBilly will retrieve the product image from the Touchsystems product and add it automatically to the product in the orderBilly menu.
Switch on if you want orderBilly to have the exact same product image as your Touchsystems POS and automatically change when image modifications have been made in Lightspeed.
Switch off if you want different images in your orderBilly menu as in your Touchsystems POS. You can always manually add pictures to products in orderBilly by going to the product detail page through 'catalogue'.

  4. Auto link products and categories
OrderBilly can copy the menu structure from Touchsystems. Meaning it can automatically add or delete products in a category when products are added or deleted in Touchsystems POS. This allows you to add categories to your orderBilly menu which 'communicate' with Touchsystems. You can recognize those categories because it shows the Touchsystems Logo next to it.
This way you can either choose directly linked categories with Touchsystems on your orderBilly menu or orderBilly created categories. You can also make a mix on your menu with both Touchsystems linked categories and orderBilly categories.

  5. Sync tables
In OrderBilly, tables need to be created manually. We then forward the correct table numbers to your TouchSystems POS system.

You can create a floor plan and tables yourself by navigating to:
Floors & Tables in the orderBilly backoffice. This allows you to customize your layout to match your restaurant's setup and ensure that table numbers align correctly between OrderBilly and TouchSystems.

  6. Sync stock
The Touchsystems stock can be synced with orderBilly with the goal to automatically put a product out of stock when the stock limit is reached.
You can also manage stock solely in orderBilly, without Touchsystems intervening (stock sync switched off) or there is no active stock management.

    Important:
If you make changes to certain elements, such as images, within orderBilly, ensure that the "Sync Images" option is unchecked. Otherwise, any changes made in orderBilly could be overwritten during the nightly or manual sync process.
